Vacation mode allows a user to be temporarily absent without losing the management of their contacts. Vixiees offers flexible options to configure how tasks and reassignment are handled during the absence.
Activating vacation mode
To activate vacation mode for a user:
- Go to Settings > Users
- Select the user
- Click Vacation settings
- Configure the desired options
- Click Start vacation
When the user is on vacation, they see a notice on their dashboard: "You are on vacation and cannot complete tasks. Contact your manager if you need help."
Available vacation modes

Reassignment strategies
When activating vacation mode, you must choose what happens to the contacts:
Follow the playbook criteria
Contacts are automatically reassigned according to the assignment strategy configured in each playbook (fair rotation, first available, etc.).
No reassignment
Contacts remain assigned to the vacationing user. Tasks become transferable but contacts do not change owner.
On task start
The contact is reassigned only when another user picks up one of their tasks. Until then, the contact remains assigned to the vacationing user.
What happens to tasks
When vacation mode is activated:
- Tasks in "created" state are marked as transferable
- The transfer reason is recorded as "User on vacation"
- Tasks become available for other users to take
- Completed or in-progress tasks are not modified
Ending vacation mode
When the user returns:
- Go to Settings > Users > [User]
- Click End vacation
What happens:
- The user starts receiving tasks normally again
- An automatic reassignment process runs
- Contacts that remained assigned generate tasks for the user again
- Tasks already taken by other users remain with them
Important considerations
- Required permissions: Only users with "Manage users" permission can activate/deactivate vacation mode for others
- Self-management: A user cannot manage their own vacation from the standard interface
- Duration: There is no time limit for vacation mode
- Multiple users: Multiple users can be on vacation simultaneously
