In Spain, commercial calls (sales, prospecting and telemarketing) must be made from a number in the 400 range. This article explains what this number is, when you need it, how to request it and what documentation you need to send us to activate it on your Vixiees account.
What a 400 number is
It's a national number reserved for outbound commercial calls. When they see the 400 prefix, the person receiving the call knows it's a commercial call.
| Feature | 400 number |
|---|---|
| Outbound calls | Yes |
| Inbound calls | No |
| SMS | No |
| Allowed use | Sales, prospecting and telemarketing |
When you need it
You need a 400 number if your team makes commercial calls to contacts in Spain.
Important: carriers will block outbound commercial calls made from any number that isn't a 400 number, whether mobile or landline.
It's not the right number for customer service or support. Those uses rely on 800/900 numbers, geographic numbers or authorized short numbers. If you also need a line to receive calls, see Dedicated Number for Inbound Calls in Sales Brains (Playbooks).
Required documentation
The number is registered in your company's name, because your company is the holder of the commercial calls. That's why our telephony carrier asks us to verify the company before activating it.
Prepare and send us the following:
- Company legal name and tax ID (CIF)
- Full registered address in Spain
- Commercial Registry extract (nota simple) or deed of incorporation, as a PDF
- Recent proof of address (for example, a utility bill), if the address doesn't appear on the previous document
- Name, ID (DNI/NIE) and email of the legal representative or authorized person
Make sure the details match exactly across all documents. Differences in the legal name or address are the most common reason for rejection.
Request your 400 number from Settings
You can request your 400 number directly from the app:
- Go to Settings › Phones and open the Requests tab.
- Click Create new phone request.
- Under Country, choose Spain, enter the Number of phone numbers and type 400 in Prefix.
- Optionally add any notes under Special requirements, then click Create.
- Sign the assignment contract with the Sign contract button that appears on the request.
400 numbers only exist in Spain, and only companies registered in Spain can request them. Otherwise the form shows the message "Only companies registered in Spain can request 400 numbers; please set the company country to Spain."
You can follow your request's status in the Requests tab. When it changes to Purchased, your 400 number appears in the Phone numbers tab.
Activation process
- You send the documentation to the Vixiees support team.
- Our team reviews it and submits it to the telephony carrier.
- The carrier verifies the company. This usually takes 1 to 3 business days. If anything is missing or needs correcting, we'll let you know.
- We activate the number and you'll see it in Settings › Phones › Phone numbers, labeled Outbound only and ready to use for your outbound calls.
How Vixiees uses your 400 number
- In Settings › Phones › Phone numbers, your 400 numbers carry the Outbound only label.
- Vixiees never uses a 400 number as a general number: it only calls from it in the Sales Brains (Playbooks) you've assigned it to.
- Within those Sales Brains (Playbooks), outbound calls go out from the 400 number first.
- You don't need to verify the number: it arrives ready to be used as caller ID on your outbound calls.
How to receive callbacks
Since a 400 number can't receive calls, it's a good idea to let the contact know where you'll be calling from and which number they can call back:
- Give notice before calling with an SMS or WhatsApp message, saying the call will come from a number starting with 400.
- Include a callback number in that message, landline or mobile.
- Set that number up in each Sales Brain (Playbook) as the number that routes inbound calls. That way, when the contact calls, the call lands in the right Sales Brain (Playbook). See how in Phone Numbers in Sales Brains (Playbooks).
Example: Hi, [Name]. We'll call you shortly from a number starting with 400. If you can't pick up, you can call us back at [inbound number].
For more ideas on preparing the contact and keeping your answer rate up, see The Call Starts Before You Dial: Best Practices with 400 Numbers.
Important considerations
As the number's holder, your company is responsible for complying with commercial-call regulations: having a legal basis to contact (such as consent) and respecting advertising opt-outs, such as the Robinson List.
- A 400 number is for calling only: if a contact calls back, you won't receive it on that number. Use an inbound number set up in the Sales Brain (Playbook) (see the previous section).
- The number is registered in your company's name, not Vixiees'.
- If your company's details change (legal name, address…), let us know so we can update the verification.
Conclusion
A 400 number lets your team make commercial calls in Spain in line with the regulations. Request it from Settings › Phones › Requests and send us your company's documentation: we handle the registration with the carrier and set the number up on your account.
