When you connect Meta Ads or Typeform, the forms that existed at that moment show up in the list and you can activate them to capture leads. âUpdatingâ a form can mean two different things (changing its configuration or making a new one appear), and each case is solved differently.

1. Activate or edit a form thatâs already connected
To change which playbook a form feeds into, its initial state, or the fields it maps, go to Settings > Integrations > Meta Ads (or Typeform) > âFormsâ tab and click the settings icon on that formâs row.
In the configuration panel you can set:
- The destination playbook and the contactâs initial state.
- What happens when an existing contact submits the form again (do nothing, always move state, or only if not in a final state).
- The mapping between the formâs fields and Vixiees contact attributes.
For the form to be active, you need to connect at least the âPhoneâ or âEmailâ field to its Vixiees equivalent. If you donât, youâll see a warning that the form isnât syncing. The fields you connect also need to match the same data type as in Meta or Typeform.

2. Deactivate a form so it stops creating contacts
If you want a form to stop generating leads in Vixiees, you donât need to delete its whole configuration. Removing the phone or email field mapping (setting it back to âNoneâ) and saving is enough. Without that field connected, the form stops syncing even though the rest of the configuration (playbook, state) stays saved.

3. Why a new form doesnât show up in the list
If the client creates a new form in Meta Ads or Typeform after the integration was connected, that form doesnât automatically appear in Vixieesâs âFormsâ list. This happens with both Meta Ads and Typeform, and itâs a limitation of those platforms, not a Vixiees failure: the permissions granted when connecting the integration only cover the forms that existed at that time.

4. How to make a new form appear
To get a newly created form to show up in the list, you need to reconnect the integration:
- Go to Settings > Integrations > Meta Ads (or Typeform) > âGeneralâ tab.
- Click âReconnectâ.
- Re-authorize access (Meta or Typeform login) just like the first connection.
Reconnecting makes Vixiees request updated permissions and pulls the new forms into the list. After that, go to the âFormsâ tab and activate it as explained in point 1.
