Activating a User vs. Activating a Salesperson: Differences

Understand the difference between activating a user (platform access) and activating a salesperson (operational role with license) in Vixiees.

In Vixiees there are two different types of activation: user activation (platform access) and salesperson activation (operational role with license). This article explains the differences and when to use each.


Two Different Concepts

A user can be active without being a salesperson, but a salesperson must always be an active user.


User Activation

What It Enables

  • Platform access (login)
  • Viewing account information
  • Access based on assigned permissions

What It Does NOT Enable

  • Receiving contacts or tasks
  • Access to communication tools (calls, WhatsApp)
  • License consumption

How to Activate/Deactivate

  1. Go to Settings > Users
  2. Select the user
  3. In the actions menu, choose Activate user or Deactivate user

Salesperson Activation

What It Enables

  • Everything included with an active user
  • Receiving assigned contacts
  • Executing tasks
  • Making calls
  • Sending messages (WhatsApp, email)
  • Salesperson view in the panel

What It Consumes

  • 1 license in the selected country
  • Call minutes based on usage
  • Other resources (recording, transcription, AI)

How to Activate

  1. Go to Settings > Users
  2. Select the user
  3. Click Activate salesperson
  4. Select the license country
  5. Confirm the activation

Deactivation

Deactivate user

  • The user cannot log in
  • If they were a salesperson, their salesperson role is also deactivated
  • Historical data is maintained

Deactivate salesperson (license only)

  • The user maintains platform access
  • Loses salesperson role
  • All their contacts and tasks are unassigned
  • 1 license is freed (at the end of the billing cycle)
  • Changes to administrator view

Common Use Cases

New salesperson employee

  1. Create user (active by default)
  2. Activate as salesperson with license country
  3. Assign to Sales Brains (Playbooks)

Administrative employee (non-salesperson)

  1. Create user (active by default)
  2. Do NOT activate as salesperson
  3. Assign viewing/administration permissions

Salesperson changing to administrative role

  1. Deactivate as salesperson (frees license)
  2. Keep user active
  3. Assign administrative permissions

Employee departure

  1. Deactivate as salesperson first
  2. Deactivate user afterward
