Activating WhatsApp in Vixiees isn't a single step — it's several, split between Meta and Vixiees. This guide walks you through the full process, in order, linking to the detailed documentation for each part.
1. Prerequisites in Meta
Before connecting anything in Vixiees, you need in Meta:
- A verified Meta Business account
- A business portfolio
- A phone number available for WhatsApp Business (it can't already be registered to another WhatsApp account)
If you run into errors at this step (business verification, 2FA, number already registered to another WABA), check the connection error table in WhatsApp Business Account Integration.
2. Connect the account in Vixiees
Once the prerequisites are ready:
- Go to Settings > Integrations > WhatsApp
- Connect with Facebook and sign in with your Meta Business account
- Select the WhatsApp Business Account (WABA) and the numbers to import
The full connection process, including what data gets imported and the most common issues, is in WhatsApp Business Account Integration.
3. Set up the visible profile
The name, photo, and description of your WhatsApp account are the first thing a contact sees. This is configured directly in Meta Business Suite, not in Vixiees.

4. Set up the payment method
Without a valid payment method in Meta Business Manager, you won't be able to send message templates. This step is also done outside Vixiees, in Meta.
Full guide: Payment Methods for WhatsApp Cloud API in Meta.
Vixiees can't verify whether the payment method is set up correctly — if messages fail, check this in Meta first.
5. Create message templates and wait for approval
WhatsApp templates need Meta's approval before they can be used in automations (typically 24-48 hours). While a template is "Pending", it can't be used for automatic sends.

6. Assign the number to a playbook
A connected WhatsApp number is useless if it isn't linked to a Sales Brain (Playbook):
- Go to Settings > Phone Numbers
- Select the WhatsApp number
- Assign it the playbooks that will use it
Only contacts in those playbooks will be able to receive and send messages from that number.
7. Final check
Before considering the process complete:
- Confirm the number shows as "Active" in Settings > Phone Numbers
- Check the number's quality rating (green/yellow/red)
- Send a test message to a real contact to confirm the whole circuit works end to end
Conclusion
WhatsApp onboarding combines steps in Meta (verification, profile, payment, template approval) with steps in Vixiees (connection, playbook assignment). Follow this guide's order to avoid getting stuck — most onboarding issues come from skipping a step in Meta before attempting the next one in Vixiees.
