Manage users in Vixiees: configure agents, permissions, work schedules, vacations, and personal email and calendar integrations.

Users are the people who access Vixiees to manage contacts, make calls, and carry out sales tasks.

User Types

Salespeople

Users marked as "salesperson" are active salespeople who:

  • Receive assigned tasks
  • Can make and receive calls
  • Appear in performance metrics
  • Consume a paid license

Non-Salespeople

Users without the salesperson role who can:

  • Access reports and dashboards
  • Configure the account
  • Supervise teams
  • Do not receive tasks or calls

User Information

Availability Status

Online/Offline

The system automatically detects whether the user is connected:

  • Connected - Online and available to receive calls
  • Disconnected - Offline or inactive

On a Call

When a salesperson is on an active call:

  • They do not receive new inbound calls
  • The time on call is displayed
  • The system records how long they have been busy

Looking for Task

Indicates whether the salesperson is actively looking for their next task.

Vacations and Absences

Salespeople can activate vacation mode with different configurations:

Vacation Modes

  • Full - Receives no tasks or calls
  • Inbound Only - Only tasks from incoming contacts are reassigned (calls, WhatsApp)

Reassignment Strategy

When activating vacation mode, you can choose which contacts to reassign:

  • All - Reassigns all contacts to other salespeople
  • None - Keeps contacts assigned
  • Only with started task - Reassigns only contacts with tasks in progress

Work Schedules

Each user can be assigned a work schedule (Time Table) that defines:

  • Working days
  • Start and end times
  • The system uses this to determine if the salesperson is within working hours

Permissions and Skills

Assigned Sales Brains (Playbooks)

Each salesperson can be assigned to one or more Sales Brains (Playbooks). They will only receive tasks from the Sales Brains (Playbooks) they belong to.

Teams

Users can belong to multiple teams, which allows them to:

  • Receive tasks assigned to that team
  • Appear in team reports
  • Share workload with colleagues

Skills

Users can have specific skills that determine which tasks they can receive. See the article "07. Contact Assignment" for more details.

Personal Integrations

Each user can connect their own accounts:

Email

  • Google (Gmail) - To send emails from their personal account
  • Microsoft (Outlook) - Integration with Azure/Office 365

Calendar

  • Calendly - To automatically manage meetings

CRM

Users are synchronized with integrated CRMs:

  • HubSpot - User ID in HubSpot
  • Pipedrive - User ID in Pipedrive

Call Configuration

Call Language

Preferred language for transcriptions and AI analysis.

Predictive Calls

Number of simultaneous calls in predictive mode (between 3 and 10).

Coaching

A user can access the coach section to:

  • Listen to other agents' calls in real time
  • Monitor their performance
  • Give direct feedback

Dashboard Views

Each user can configure which views they see in their panel:

  • Team Summary - General team metrics. Common for supervisors.
  • My Tasks - Personal list of pending tasks. Common for agents.

Licenses

Active salespeople consume paid licenses:

  • Active Salesperson - User counted for billing
  • License Country - Country associated with the license (affects pricing and the sum of call minutes for the license country)

The license is activated when the user is marked as a salesperson and is active.
